2. Definitions
Property refers to Aroha Palms Luxury Villas and Apartments.
Guest refers to any individual making a reservation, staying at the property, or using our services.

Reservation refers to a confirmed booking made through our website, OTA platforms, agents, or direct communication channels.
3. Reservations and Bookings
3.1 Reservations are subject to availability and confirmation by the property.
3.2 Guests must provide accurate and complete information during the booking process.
3.3 A reservation is considered confirmed only after receipt of payment or deposit as specified during booking.
3.4 The property reserves the right to decline or cancel reservations due to inaccurate information, suspected fraudulent activity, or operational constraints.
3.5 A reservation is only locked in once we issue a formal Booking Confirmation Voucher to your email. The primary guest who makes the booking must be at least 18 years old and must stay at the property for the duration of the trip.
4. Rates and Payments
4.1 All rates are quoted in INR (Indian Rupee) unless otherwise stated.
4.2 Applicable taxes, fees, and charges may be added to the booking amount as required by law.
4.3 Full or partial payment may be required to secure a reservation.
4.4 The property reserves the right to correct pricing errors, inaccuracies, or omissions.
4.5 We do not collect or save your card numbers or CVVs on our website. All transactions are securely handled through encrypted, external payment gateways that meet global PCI-DSS security standards.
5. Cancellation and Refund Policy
5.1 We offer a tiered cancellation policy based on how far in advance you notify us. Our goal is to balance flexibility for our guests with the operational requirements of maintaining a luxury estate.
• 45+ Days Notice: Full refund (less 5% processing fee) or 100% credit for a future stay.
• 30 – 44 Days Notice: 50% cash refund or 100% credit for a future stay.
• 15 – 29 Days Notice: No cash refund. However, we offer a 50% credit for a future stay.
• Within 14 Days: Cancellations made within two weeks of check-in are non-refundable and not eligible for credit.
5.2 Refund eligibility shall be determined according to the cancellation policy applicable at the time of booking.
5.3 No-shows, early departures, or unused services may not qualify for refunds unless otherwise specified.
5.4 Processing times for approved refunds may vary depending on the payment provider or banking institution.
6. Check-In and Check-Out
6.1 Standard check-in time is 03:00 PM.
6.2 Standard check-out time is 10:00 AM.
6.3 Early check-in and late check-out requests are subject to availability and may incur additional charges.
6.4 Guests may be required to present a valid government-issued identification document upon arrival.
6.5 Domestic Guests: Every guest must present a valid, original government-issued photo ID at check-in (Aadhaar Card, Driving License, Voter ID, or Passport). Please note that PAN Cards are not legally accepted as address proof by local authorities.
6.6 International Guests: Foreign travelers must show a valid passport and an active visa or OCI card upon arrival so our team can complete the mandatory Form C filing.
7. Occupancy and Guest Responsibilities
7.1 Only registered guests are permitted to occupy the accommodation unless otherwise approved.
7.2 Guests are responsible for maintaining reasonable conduct and respecting other guests, staff, and neighboring properties.
7.3 The property reserves the right to remove any guest whose conduct is deemed inappropriate, disruptive, illegal, or unsafe.
7.4 Guests shall be responsible for any damage caused to the property, furnishings, equipment, or facilities during their stay.
